Zetein

For maintenance and technical service companies

For maintenance companies and technical services with technicians who go to the customer's premises. Zetein organises their work: who goes where, what they have to check and what the customer signs.

What it is and what it is not

Zetein organises the technicians' work. It does not take customer service requests or manage maintenance contracts, equipment records or invoicing; it works alongside the software you already use for that.

Who goes where

The office records each job and the technician carries it on the phone, with its date and its details. For a visit with a set time, the phone gives a reminder before it starts. How planning works.

The checklist for each inspection

The office writes in the task the points to be checked and marks where it wants a photo. Whichever technician goes checks those points, not the ones they remember, and the office sees each one with its photo. How checklists work.

The signed work report, as proof

When finished, the technician completes the work report: work done, hours and materials. The customer signs on the phone and a numbered PDF is created: it is filed at the office and the customer takes a copy. The accounts team exports all work reports to Excel. How work reports work.

By project or by technician

There are two ways to organise it, and they can be combined. As a project: each customer or each installation is a project, with its planning, its requests, its documents and its work reports. By technician: one-off jobs (a visit, a maintenance job, a call-out) go in each technician's individual planning, where they mark them as done; the work reports created from there carry the reference of the place written on them.

Spare parts requested from the visit

When the maintenance is run as a project, the technician requests the spare part there, with its urgency, and the office replies in the same request. How material requests work.

What cannot be fixed there and then

What the technician spots and cannot fix during the visit is written down, with a photo, in the job's conversation or as a new entry. The office sees it and decides. How issues are handled.

Questions

Is Zetein a computerised maintenance management system (CMMS)?

No. It does not track equipment, contracts or maintenance schedules. It handles the technicians' work: planning, checklists and signed work reports.

Does it take customer service requests?

No. The office records the job in the technician's planning. Zetein has no inbox or portal for customers to log a request.

Does the customer receive the work report?

Yes. When generating it, the technician passes them the PDF from the phone or sends it to their email.

Is it useful if I already have software for service requests and invoicing?

Yes. Zetein handles the technicians' work, and work reports come out as PDF and as Excel.
