Work with subcontractors without mixing up information
You can open one of your projects to the companies working for you on it and decide what each one sees. It is not health and safety document coordination: it is day-to-day work, shared only as much as needed.
How it works
You invite the company
From the project, with the company's name and the email address of its management. The invitation comes with a code that is handed over in person or by phone, never by email.
The subcontractor accepts
With its own Zetein account. From then on the project appears in its list and it assigns its field workers to it.
You decide what to share
By section: the planning, the requests, the plans, the checklists and the issues.
You choose who sees each item
Each task, request or document can belong only to your company, to your company and the subcontractors you select, or to the whole project.
What a subcontractor sees
- What the main contractor shares with the whole project or with it, and its own company's items.
- Never another subcontractor's items.
- It can edit what is shared with it, but not delete it or change who it is addressed to.
- What it creates goes to the main contractor or stays within its company.
Private replies
When a subcontractor replies to something from the main contractor, the reply reaches only the main contractor. No other subcontractor sees it or knows it exists. The main contractor can reply to everyone or to just one company, privately.
Work reports
Work reports by a subcontractor's field workers are seen by their company and by the main contractor. The main contractor's, only by the main contractor.
If a subcontractor leaves the project
You remove it from the project and it loses access. What is shared from then on is encrypted with new keys, which the removed company does not have.
What you need
- Each company works with its own Zetein account and an active subscription.
- Every computer and phone of the companies on the project, with the current version of Zetein.
Something different: project coordination
For project management there is another way for companies to work together, which is not the same as a project with subcontractors. In project coordination, several companies share a common board that they all read and all write on, and each one also has a private conversation with the coordinator. It is run from the desktop app.
Questions
Does the subcontractor have to pay?
Each company works with its own Zetein account and needs an active subscription.
Can a subcontractor see the others?
No. It does not see the list of subcontractors or anything the main contractor shares only with another one.
Can a subcontractor invite another company?
No. Only the main contractor invites.
Does it see what was already on the project before it was invited?
Yes, on accepting, in the sections you share with it and only what is shared with it. It does not see the documents uploaded as internal.
Can it be used for contractor health and safety coordination?
No. Zetein does not manage the health and safety documentation of the companies on the project.
